This Privacy Policy explains how Ironwood Software Inc. (“we,” “us,” or “our”) collects, uses, protects, and shares information in connection with the Game Day application and related websites and services (collectively, the “Service”). We have built Game Day to keep your information private by default. We do not sell or rent your personal information, and we never share it with third parties for their own marketing. We share information only with the trusted service providers that make the Service work, and only as described below.

1. Who we are

The Service is operated by Ironwood Software Inc., located in Kitchener, Ontario, Canada. Game Day is a team-management application that helps sports teams organize schedules, rosters, attendance, statistics, communications, and team-related payments. 2. Information we collect

We collect only the information needed to run the Service. This includes:

Information you provide

• Account & contact details: your name, email address, phone number, and the password or sign-in credentials used to access your account.
• Team & profile information: your role on a team (such as coach, manager, player, or spare), playing positions, skill rating, roster and season membership, and similar team-related details.
• Activity information: game availability and RSVPs, attendance, statistics, leaderboards, and other duties or assignments you record in the Service.
• Communications: messages and content you send through in-app chat or other messaging features, and emails you send or receive through the Service.
• Payment information: when you make or receive payments (for example, team, season, or spare fees), our payment processor collects and handles your payment-card or banking details directly. We do not store full payment-card numbers; we receive only limited transaction information such as the amount, status, and the last digits of a card.
• Information about other people: coaches, managers, or guardians may enter information about team members (including, where applicable, youth players) such as names, contact details, and positions. If you provide information about another person, you are responsible for ensuring you have the authority and any consent required to do so — see Children’s privacy.

Information collected automatically

• Device & technical data: device type, operating system, application version, and similar technical identifiers.
• Log & usage data: IP address, access times, pages or features used, and diagnostic or error information used to keep the Service secure and reliable.
• Session & authentication data: cookies or tokens used to keep you signed in and to protect your account (see Cookies).

3. How we use information

We use the information we collect to:

• Provide, operate, and maintain the Service — including teams, schedules, rosters, statistics, and messaging;
• Create and secure your account and authenticate your access;
• Process and record payments and fees through our payment processor;
• Send you service-related communications, such as game reminders, spare requests, notifications, confirmations, and receipts;
• Maintain, troubleshoot, and improve the Service, and develop new features;
• Protect the security and integrity of the Service, prevent fraud or abuse, and enforce our terms; and
• Comply with applicable laws and respond to lawful requests.

4. Legal bases for processing

Where required by law (for example, under Canadian privacy law or the EU/UK GDPR), we rely on one or more of the following legal bases to process your information: performance of our contract with you (to provide the Service); our legitimate interests in operating, securing, and improving the Service; your consent, where we ask for it; and compliance with our legal obligations. Where we rely on consent, you may withdraw it at any time.

5. How we share information

Service providers (sub-processors). We share information with vendors that process it on our behalf and only as needed to operate the Service. These providers are bound by contract to protect your information and to use it only for the services they provide to us. They include providers of:

• Payment processing — to handle team, season, and spare fees and payouts (for example, Stripe);
• Email and messaging delivery — to send transactional notifications such as reminders, spare requests, and receipts;
• Push-notification delivery — to deliver mobile notifications through the operating system or messaging platform;
• Cloud hosting, infrastructure, security, and content delivery — to host the Service and protect it against abuse (for example, a content-delivery and security provider);
• Artificial-intelligence processing — where the Service uses AI-assisted or automated features, the relevant content may be processed by an AI provider (for example, Anthropic’s Claude API) solely to deliver that feature. Such providers act as our service providers and do not use your information to train their models for their own purposes except as permitted by our agreement with them; and
• App distribution platforms — the Apple App Store and Google Play distribute the mobile application.

Other limited disclosures. We may also disclose information:

• to comply with applicable law, regulation, legal process, or an enforceable governmental request;
• to protect the rights, property, or safety of our users, the public, or us, and to detect, prevent, or address fraud, security, or technical issues;
• in connection with a merger, acquisition, financing, or sale of assets, in which case we will require the recipient to honor this policy; and
• with your direction or consent, or to other team members as part of the normal functioning of a shared team (for example, roster and schedule information visible to your team).

6. How we protect information

We take the security of your information seriously and use technical and organizational safeguards designed to protect it. Sensitive personal information is encrypted at rest using AES-256-GCM encryption, and information transmitted between your device and the Service is protected in transit using industry-standard encryption (TLS/HTTPS). We restrict access to personal information to those who need it to operate the Service.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your sign-in credentials confidential and for the accuracy of the information you provide. If you believe your account has been compromised, contact us immediately.

7. Data retention

We retain personal information for as long as your account is active or as needed to provide the Service, and afterward only as necessary to comply with our legal obligations, resolve disputes, enforce our agreements, and maintain the security and integrity of the Service. When information is no longer needed, we delete it or de-identify it. Certain records (such as transaction records) may be retained longer where required by law.

8. Your rights and choices

Depending on where you live, you may have rights regarding your personal information, including the right to access, correct, update, or delete it; to receive a copy in a portable format; to object to or restrict certain processing; and to withdraw consent. Because we do not sell or share personal information for advertising, there is nothing to opt out of in that regard. To exercise any of these rights, contact us at support@zencalendar.app. We will respond as required by applicable law, and you may also have the right to lodge a complaint with your local data-protection authority.

9. Deleting your account & data

You can request deletion of your account and associated personal information at any time by contacting us at support@zencalendar.app from the email address associated with your account, or by using any in-app account-deletion option where available. Upon a verified request we will delete or de-identify your personal information, except where we are required or permitted to retain it (for example, financial records or to resolve disputes). Some information shared within a team may remain visible to that team where necessary for its records.

10. Children’s privacy

The Service is intended for use by adults — such as coaches, team managers, and adult players — and is not directed to children. We do not knowingly allow children to create accounts or collect personal information directly from children without appropriate authorization. Where a coach, manager, or parent/guardian enters information about a youth player as part of managing a team, that adult is responsible for providing any required notices and obtaining any consent required under applicable law. If you believe a child has provided us with personal information without proper authorization, please contact us and we will take appropriate steps to remove it.

11. International data transfers

We and our service providers may process and store information in countries other than the one in which you live. Those countries may have data-protection laws that differ from yours. Where required, we take steps to ensure your information receives an adequate level of protection when it is transferred, consistent with this policy and applicable law.

12. Cookies & similar technologies

We use cookies, local storage, and similar technologies that are necessary to operate the Service — for example, to keep you signed in, remember your preferences, and protect your account. We do not use these technologies for third-party advertising. You can control cookies through your browser or device settings, but disabling essential cookies may prevent parts of the Service from working.

13. Third-party links

The Service may contain links to third-party websites or services that we do not control. This policy does not apply to those third parties, and we are not responsible for their privacy practices. We encourage you to review the privacy policies of any third-party services you use.

14. Changes to this policy

We may update this Privacy Policy from time to time. When we make changes, we will revise the “Last updated” date at the top of this page and, where appropriate, provide additional notice. Your continued use of the Service after an update means you accept the revised policy.
